As you’re going through the sections and setting up the fields you need, you can add new ones and delete the ones you won’t use. HRMS for Sage CRM is there to do what you need it to do, so set it up how you want. You can also add more functionality to it. As CRM is a web development tool, fields, screens and functionality unique to your organization can always be added if need be.

What if your client needs to switch things up a bit to better show a process? No problem! HRMS gives your client the freedom to build their own unique processes by leveraging Sage CRM’s workflow engine and escalation manager features.

Tabs within HRMS

Summary

Within this tab, you’ll find a summary of the employee’s information. Their name, employee number, social security number, and other personal information will be found in this area as well. Along with these fields, there is also a checkbox field where you can see if any documents related to the employee have been uploaded. These are documents such as tax forms, void checks, and any signed agreements.

Communications & Documents

These two tabs each store and show any interaction with the employee or applicant. The records show the date and time the communication was made, what it was about, and the person they messaged. Under the status column, you are able to mark that the message has been acknowledged and the employee’s communication has been taken care of.

Wages

In this tab, you can see any time an employee’s title or compensation has been changed. This will be helpful in terms of seeing any promotions that have happened and coinciding pay-raises that go along with the change in position. Even without any promotions, simply keeping track of any raises in pay will keep your payroll under control.

Accruals

Thanks to the accruals section, you can keep track of anything that your employees have racked up. Meaning, you can see how much vacation time they have saved up and how much they have used so far, or you can see how much of their sick time they have used and how much they have left. Accruals can also be requested and approved or denied through the platform quickly and easily.

Security

This tab holds the information of what credentials have been given to the employee. All the reasons as to why the employee was given access to everything are listed here as well. For example, if an employee needs access to a room so they can grab tools they need for a daily task that information would be found here.

Claims

Here you can find any claims filed against the employee. These claims aren’t necessarily bad, though. You could see a submission about an excellent performance completing a task or you could see a claim stating what terrible customer service the employee provided. Either way, you have record of their performance, and proof of how they did.

Certificates

When an employee completes a training course or is awarded a certificate, you’ll file it into this tab. Here, it will be easy for you to see what training your employee has completed and what they have yet to to do to be successful. You can also set up alerts in this tab. Alerts will let you and your employee know when a certificate or training course needs to be renewed. All you have to do is check the box that says “Set Notification.”

Benefits

This tab lets you know what benefits an employee has opted into. Everything you need to know will be kept in a nice list, right there for you so you don’t miss a thing.

Checklist

The checklist can be used for anything you want. You can use it as part of your on-boarding procedure to make sure you get everything you need from the newcomer and to make sure you do everything you need to so they are prepared. Or, you can use it for whatever else you feel it would work best for.

Reviews

Here is where you put your review of the employee. You can categorize your reviews any way you’d like, or you can just list them there as you put them in.

Separation

This tab is for when the employee is leaving your company – willingly or not. You’ll profile important information here, such as the date they are leaving, why, and any other information you feel necessary to document.

The current version of HRMS is v3.0, which works with Sage CRM v7.2 & v7.3. It also uses CRM’s security principals, so you know your information will be safe.
